Conference booking terms and conditions

All conferences, training and online events organised by the Conference Collective Ltd, on behalf of our clients, are subject to the terms and conditions set out below. Bookings should be made on the registration form (one form per delegate).

Our contract with you

1.1 Submission of your booking is an offer which will be acknowledged in writing by the Conference Collective Ltd on behalf of the conference organisers, (‘Us, Our, We’). Acceptance of the booking will only take place if so agreed by Us and not until receipt of cleared funds (if applicable) for the Conference, and when We have specified this in writing. This will form the ‘Agreement’ between us.

Confirmation of attendance

2.1 An email containing your login details or joining instructions (as applicable) will be sent to you on completion of your registration profile.

Data Protection and Cookies

3.1 We will only ever gather and process your personal data (including any special category personal data) provided on the registration form, in order to ensure that necessary arrangements are made for you in relation to the Conference and in accordance with the General Data Protection Regulation ((EU) 2016/679) and the Data Protection Act 2018). This may include passing such information to the operators of the venue and hotels and to publishers of conference proceedings or abstracts, for the purposes required for the Conference. It remains your responsibility to advise Us of any dietary and/or access requirements that you may have.

Events Outside of Our Control

4.1 It may be necessary for reasons beyond our control to alter the content and timing of the Conference, the identity of the speaker or the date or the venue. In the unlikely event of the Conference being cancelled, we will not be liable to you for any costs or losses, whether direct or indirect.

4.2 Should We be unable to perform any obligations under this Agreement due to causes or circumstances beyond our reasonable control, including any Act of God, war or threatened war, terrorism or threatened terrorism, fire, epidemic or pandemic, flood, drought, strike, lock out or actions of the venue/hotels, We will not be liable to you for this.

4.3 You are advised to take our appropriate insurance to cover any losses incurred in the event of cancellation, including your travel, accommodation and other associated costs.

Cancelling your booking

5.1 If you wish to cancel your booking, you must inform us at qcgbf@conferencecollective.co.uk, in writing, immediately.


6.1 This Agreement is subject to the laws of England and it is agreed that the courts of competent jurisdiction shall be the English Courts.
